How
To Bid & Auction Rules

Each OCS family and faculty has the
opportunity to pre-register and receive an auction bidder number the
week before the event.
On the day of the Auction, before you begin bidding, (if you have not
pre-registered) please register (provide name, address and method of
payment) and receive your bidder number at our Auction Registration
table.
o Each item will have a bid sheet attached or nearby.
The bid sheet will be categorized and numbered to correspond with this
catalogue.
Be sure that you are bidding on the item that you want. There may be
changes and additions since the catalogue was printed and, in case of
a discrepancy between the catalogue and bid sheets, the bid sheets will
hold sway.
o Note: for certain items multiple bidders will win. The maximum number
of winners will be noted on the bid sheet and in the catalogue. You
will find that the bid sheets for these items have pre printed dollar
amounts next to each bid line. Please write your number next to a dollar
amount. Do not write in your own dollar amount. At the close of bidding,
the top bidders, up to the maximum will be considered the winners.
o Each bid sheet will indicate a minimum starting bid and a minimum
raise. Raises made for less than the minimum raise will be considered
invalid. At the close of bidding, the highest valid bid entered
on the bid sheet will be considered the winner.
o Alterations of any bid by bidders are prohibited. Once a bid is written
it may not be crossed out. Bid sheet adjustments may occur only with
the approval and signature of a Silent Auction Official. Please locate
and OCS Auction Official if you wish to retract a bid.
o Note that some items have restrictions. Please consult the bid sheet
and the catalogue carefully, as all items are subject to the terms,
conditions, and limitations set by the donor. Many restaurant certificates
do not include alcoholic beverages, tax, and gratuity. Most certificates
have no cash value. Unless otherwise noted certificates expire on May
17, 2009.
o Values placed on the items are estimates only and are not warranted
by Ocean Charter School for tax or other purposes.
o All items are sold ³as is.² The Silent Auction Committee has made
every effort to give valid and accurate descriptions, values, expiration
dates, and restrictions for all of the items. However, the committee
cannot be held responsible for any errors, omissions, or events beyond
its control.
o The auction will close in sections. Nobody is allowed to bid on the
item in a section after that section has closed. At the close of bidding,
the last dollar amount entered on the bid sheet constitutes a winning
bid and will be marked by an auction volunteer. If necessary, a Silent
Auction Official will hold an ³on the spot² live auction to determine
the winning bid for the item in question.
o In the event of a dispute, an auction official will render the final
decision to determine the winning bid.
o Please, no children are allowed in the auction unless accompanied
by an adult.
o Last, but not least, bid early, bid often, and enjoy your auction
winnings. The funds we raise support students at Ocean Charter School.
Absentee
Bidding
This
year we will accept Absentee Bids for those OCS families and friends
that who are unable to attend the Silent Auction in person.
Absentee bidders must complete an Absentee Bidder Registration Form,
list the items and bid amounts for each item.
Registration Forms must be faxed Mary Pavlica at 310-398-8932 or emailed
to her at marygary@earthlink.net.
Absentee bids must be received by 12:00 noon on Friday, May 16th in
order to be eligible.
All absentee bids become the opening bid on the bid sheets.
Should multiple bids be received for one item, the first highest bid
received will be the opening bid.
Auction attendees have the opportunity to bid against the opening Absentee
bid.
If no higher bid is received, the Absentee bidder is the winner.
Delivery of the winning items is the responsibility of the Absentee
Bidder.
You must make arrangements to have an OCS friend or relative send your
items to you.
Special shipping arrangements can be made through Mary Pavlica.
All shipping and handling costs are the responsibility of the Absentee
bidder.

Out Procedure
oThe Silent Auction will close in three,15-minute
intervals beginning at 2:00 pm. Nobody is allowed to bid on a section
once the bidding is closed.
o When bidding is closed the bid sheets will be collected and preparations
will be made for cashier set up.
o Payment for winning bids will commence at 4:30. Please proceed as
directed to cashiers' tables to pay for items.
o At check out, you will be asked to review your invoice of items you
'won'. Once your invoice is stamped 'PAID' by the cashier, you proceed
to the tent to collect your winnings. Those who have provided a credit
card number (MasterCard or VISA only) on their registration form can
collect their items and go. Those paying with cash or check will be
required to make their payment before collecting their winnings.
o Purchases must be paid in full and picked up at the conclusion of
the Spring Faire clean up.
o All sales are final. There will be no refunds or exchanges on items,
except when specified. Payments may be made in cash, check, or credit
card. Checks should be made payable to Ocean Charter School.
o All items not collected by the close of the day (5:00) will be subject
to a $10 transport/storage fee. This fee will be charged to the winning
bidder's invoice. The unclaimed items will be transported to OCS' South
Campus (12606 Culver Blvd., Los Angeles 90066) and will be available
for pick up there at the school starting Monday, May 19 (hours to be
determined). All items must be claimed by Wednesday, May 21 (or arrangements
must be made for a later pick up). All items not collected or spoken
for by May 21 will become the property of the OCS Silent Auction.
